The Family consists of the Husband (CEO of a Multinational Company) and Wife who is primarily at home with their 3 kids (ages 13, 8, and 2 years old) and is very involved in managing their schedules, and very involved in their schools and volunteering at multiple foundations.
The Family is in search of a Skilled and Experienced Executive House Manager / Assistant to take care of their home like it is your own, and therefore be an extension of their family.
You need to have experience with being proactive and foresee potential issues around the home and bring them to the attention of the Principals. You should be willing to be flexible and not watching the clock. This family is super aware of personal time for the candidate but if they need them to stay a little later, hours will be paid. This family wants someone who loves to do their job and is happy leaving all problems and issues at the door.
Work Schedule Working hours are Monday through Friday - 8 am to 6 pm (with flexibility) Saturdays may be needed and you can switch a day off during the week if you are needed on a Saturday.
Job Description
Reporting to the Principals, the Executive House Manager / Assistant will carry out the following responsibilities to support:
Childcare Driving is necessary. You will need to drop and pick up the children off at classes/after-school activities.
Household Making sure the house is ‘neat and tidy in between house cleanings (e.g., Counters clean, dishes done, high traffic area floors swept, bathrooms are neat). There is a housekeeper so no deep cleaning is needed.
Laundry
At Home Dry Cleaning needs (managing Pickup and delivery) Meal Prep (e.g., cutting vegetables) and cooking a few nights a week Maintenance and filing of all mail Paying of bills (e.g., setting up autopay and where necessary paying individual Bills) In-store and Online Shopping including Management of restocking of all groceries and supplies including: Ordering online for delivery (e.g., Whole Foods, Shoprite etc.) Going to the stores where necessary (e.g., specific butcher shop which doesn’t deliver)
Contracting with, Hiring, and Managing all support vendors/suppliers including:
Landscaping Regular house cleaning (2-3X a week - Managing Housekeepers) Sprinkler system Swimming Pool Maintenance Snow removal Regular Plumbing Handyman needs Audio Visual within the house Cable company HVAC, Generator, etc. Organizing schedules Driving kids to and from schools and, after school activities (using the family car) Managing Calendars for the Principals Planning and Booking Organizing various gatherings and parties for Homeowners including: Creating a spreadsheet for the entire event The hiring of catering, bartenders, and other ancillary staff. Invitations Managing of staff during the event and clean up Booking Restaurant Reservations Planning and booking trips for the household including flights, hotels/houses, activities. Help packing for the whole family
Requirements
3 years experience minimum in a Personal Assistant and House Manager role Experience using MS Office (Word, Excel, Outlook) Hyper Organized and Attention to detail Proactive with a No job is too big or too small mentality Being supportive and skilled at taking notes and direction
COVID-19 Vaccination is a must.
